Rent payment matcher
A deposit isn't a rent allocation until you know which unit and period it belongs to. Compare your schedule with bank rows, confirm each allocation, and keep the amounts you haven't explained in view.

Up to 500 schedule items, 10,000 bank rows and 2,000 allocations. Each input is limited to 5 MB. Tables show a preview, then pages of at most 200 rows.
Schedule, bank file and format settings
Changing an input or setting clears existing allocations and exclusions so old decisions cannot attach to new rows.
Expected schedule
UTF-8 .csv or .txt, up to 5 MB. File contents never leave this tool.
Map unit alias to Description, period to Reference, due date to Date, and expected rent to Signed amount.
Account and currency labels must match exactly between the schedule and bank rows. A mapped column takes precedence; blank mapped cells are errors.
Signs and two-digit years
At 69, years 00 to 68 mean 2000 to 2068, and 69 to 99 mean 1969 to 1999. Four-digit years avoid this cutoff.
File read: Waiting for readable CSV.
Format checks: Not ready. Resolve the items below.
Enter a schedule by hand
Use unit aliases, not names or addresses. Manual amounts use a decimal point and two decimal places. Each row is one period. Loading this list replaces the schedule above and clears allocations.
Bank receipts
UTF-8 .csv or .txt, up to 5 MB. File contents never leave this tool.
Map the bank's payment reference to Description. Money into the selected bank account is positive; refunds and reversals are negative. Nothing is matched by amount alone.

Confirmation accepts the mapped columns, date order, number separators, signs, decimal places and any listed removal of time or weekday labels. Dates are not converted between time zones.
Add a schedule and bank rows, or try the fictional example.
Calculation: Not run. Both inputs and their formats need confirmation.
This is a comparison of supplied records, not a finding that anyone owes money. It does not assess payment authenticity, fraud, legal balances, late fees, possession rights, taxes or destination acceptance. It is not legal, tax, lending or accounting advice.
You decide what each payment covers
Start with the rent schedule you want to check: a unit alias, period, due date, expected amount, currency and receiving account. You can enter the schedule by hand or load a CSV. Add your bank CSV, map its reference and amount columns, then confirm whether the bank date is a posted date or a transaction date. Neither names nor property addresses are required.
Choose a bank row and confirm how much belongs to a schedule item. Several receipts can cover one item; a combined receipt can be divided across several. The tool only suggests a reference match when the text exactly matches one unit alias in the same account and currency. It never assigns a payment because its amount happens to match the rent.
In the fictional example, Unit A expects 1000.00 USD. Allocations of 600.00 and 400.00 leave a difference of 0.00, even though the second payment has a parent's reference. Unit B expects 900.00; its 850.00 allocation leaves 50.00 unmatched in the supplied records. The separate 300.00 deposit stays unallocated. Another 200.00 is explicitly excluded as a security deposit, not counted toward rent.
A difference is a question, not a verdict
The schedule shows expected rent minus confirmed allocations. “Matched” means that arithmetic reaches zero. “Partial” and “unmatched in the supplied records” tell you where your selected evidence and decisions leave a difference. Cash payments, a missing account, an advance, a refund or an agreement outside these records could change the explanation.
This is not a complete tenant ledger or rent roll. It does not establish that anyone owes money, interpret legal due dates, calculate legal balances or late fees, assess payment authenticity or fraud, or prepare legal notices. The download is not a proof-of-payment certificate. No legal, tax, lending or accounting advice is provided, and no accounting app's acceptance is promised.
File reading, format checks and allocation arithmetic are separate states. Readable CSV is not proof that the numbers or the underlying payment are right. Keep the original records and use the statement review log to record questions that need another document or a conversation.
Keep the unexplained amounts visible
Every bank row starts unreviewed. You can include it without assigning it, exclude it with a reason, or confirm an allocation. Excluded rows remain in the full report with their amounts and reasons, separate from unallocated receipts. A receipt's parts cannot exceed that receipt, and account and currency labels must match exactly. Different currencies are never added or converted.
For a refund or reversal, enter a negative allocation and link it to the original positive allocation for that schedule item. The linked reversals cannot exceed the original allocation. An advance payment can be assigned to a future period you explicitly enter; an amount above the entered schedule is shown as such, not moved into an invented month.
The worksheet accepts UTF-8 CSV or text up to 5 MB per input, with 500 schedule items, 10,000 bank rows and 2,000 allocations. Tables show at most 200 rows per page. Dates use the calendar date printed in the file, without timezone conversion. Choose number separators and up to six decimal places; excess precision is rejected rather than rounded. The manual schedule form uses two decimal places.
Blank records, repeated headers and unresolved date or amount problems block the calculation. Correct a working copy rather than deleting evidence from the original. Changing source data or settings clears existing allocation and exclusion choices. If your CSV itself needs attention, start with the CSV checks.
What happens to your file
Your file and the values you enter are processed in this browser tab. They are not uploaded or sent to analytics. We do not save them between visits. Downloads you choose to save remain on your device.
Use Clear all inputs and results when you finish. Back navigation may restore uncleared input, and clearing the tool does not securely erase browser or device history. The site still needs ordinary web requests to load the page; your worksheet is not sent along with them.
The full review CSV includes source rows, receipt references, decisions and original cells. The unit-only CSV omits those bank details, but still includes your aliases and source labels, so check them before sharing it. Formula-like text gets an apostrophe prefix in either download; parsed negative amounts remain numbers. Spreadsheet software can remove that protection when a file is saved again. Exports are new files and never overwrite your originals.
A narrower job than a rental ledger
Stessa's rent ledger template describes manual spreadsheet entry. Buildium's ledger guide recommends matching payments to bank deposits and keeping security deposits separate. We opened both on October 17, 2026. This worksheet handles that narrow allocation step, not the legal or property-management functions discussed on those pages.
If you're gathering records for a tax return, the allocation report does not replace the supporting documents. See what bank statements do and don't establish for tax records.
If the deposits are still in PDF statements
Already have a bank CSV? This tool is free. Only have PDF statements? First check your bank's native export or any included extraction option. AnyStatement can convert PDFs into reviewable transaction data. That is a separate step; this worksheet does not send your files to the converter.
